How to Send a Save the Date for a Company Holiday Party

Send a company holiday party save the date in six steps, choose the right timing, and plan the invitation handoff with a December example.

To send a save the date for a company holiday party, create a Greenvelope save the date with the party name, the date, the city, and who is invited, include an Add to Calendar link once the date and start time are confirmed, import your employee list, and schedule it to go out by email or by text message in supported countries. Formal RSVPs come later, on the invitation that follows. The six steps below walk through it, with a dated December 2026 example and a table for deciding whether a save the date is still worth sending.

Holiday party save the dates run on a tighter clock than conference or gala announcements, because the invitation itself goes out only 4 to 6 weeks before the party. This guide is published by Greenvelope and covers the holiday-party case; our guide to sending a business save the date online covers business events in general.

At a Glance

  • This guide's recommendation: send a company holiday party save the date once the date is firm and at least two weeks before the invitation goes out, which for a December party usually means October or early November
  • If you are already inside the 4 to 6 week invitation window, skip the save the date and send the invitation; allow more notice when guests need to travel
  • Put five things on it: the company, the party name, the date, the city, and who is invited, plus "Invitation to follow"
  • Include an Add to Calendar link once the date and start time are confirmed; if the time is not final, say "Time to follow"
  • A save the date asks for no RSVP; collect replies on the invitation, with the reply date set a few days before the caterer's final count
  • Single mailings start at $19 for a guest list of up to 20 people, with pricing based on list size and no subscription required. Paid accounts start with 500 text messages, with more available to purchase

Does Your Company Holiday Party Need a Save the Date?

On Greenvelope, a save the date and an invitation are separate mailings, so the question is whether there is room for both before the party. In this guide's recommendation, a save the date earns its place when the invitation can still follow at least two weeks later, inside its own 4 to 6 week window.

Time until the partyWhat to sendWhy
More than 8 weeksA save the date now, the invitation 4 to 6 weeks outThe extra notice helps employees and invited guests plan
6 to 8 weeksA save the date this week, the invitation about 2 weeks laterStill useful, as long as the invitation follows inside its window
Less than 6 weeksThe invitation onlyThe invitation window is already open, so a second mailing adds little

A small team party may not need one at all, and a party that brings guests in from other offices or cities benefits most. Our save the date vs. invitation guide covers the difference between the two cards.

How to Send a Save the Date for a Company Holiday Party in Six Steps

On Greenvelope, create the save the date and the later invitation as separate mailings in the same account. To reuse the employee list for the invitation, you import the contacts from your address book, as described after the steps.

1. Lock the date and the guest policy

Confirm the event date and any necessary venue arrangements before sending, so employees and invited guests can plan around a firm date. Check office closures and team travel before you commit. Then decide who is invited: employees only, partners and guests, families, remote staff, or clients. A clear guest policy can reduce follow-up questions.

2. Choose a holiday design or upload your company's artwork

On Greenvelope, start from the business holiday party save the date collection, or upload your own design as a finished card image in .jpg, .jpeg, .png, or PDF format if your design team has made one. To brand a template, add your logo as an image in the Edit Card section. Our corporate save the date templates show twelve business designs matched to different events.

3. Write the save the date

A holiday party save the date carries less than the invitation: the company, the party name, the date, the city, who is invited, and a line saying the invitation will follow. Leave the venue details, schedule, menu, and reply date for the invitation.

4. Import the employee list and choose email or text

In the Send step, click Add Contacts and import your list from an Excel or CSV file, a webmail account, a pasted list of emails, or your Greenvelope address book. Each person receives the card by email, or by text message in supported countries, based on their preferred channel and reliable contact details. Employees open the card from the email or text without creating an account.

5. Add the calendar link

Include the Add to Calendar link once the event timing is confirmed. Under Details, open Information and add the Date/Time and location, and the Add to Calendar link appears in the location section of the card's details page. If the start time is still undecided, send the announcement with "Time to follow" and provide accurate calendar details with the later invitation.

A save the date can also carry an optional interest question, such as whether someone expects to join in person or online. Use the answers for early planning only; they are not RSVPs or an attendance count. Choose a venue that can hold your invited employees and permitted guests, then use the invitation RSVPs to prepare the expected headcount for your caterer.

6. Run a pre-send check, then schedule the send

Preview the card, send yourself a test, read it on a phone, confirm the list and a reply-to address someone monitors, and test the links and calendar details. Then, in the Send step, click Schedule Send and pick the date and time. A scheduled send goes to every unsent contact on the list at that time, including people you add after scheduling, so new hires added before the send date are covered.

After the Save the Date: Handing Off to the Invitation

On Greenvelope, the save the date reports when Greenvelope recorded each card as opened; it does not collect RSVPs. When the venue, schedule, and menu are set, create the invitation as its own mailing and import the same people through Send, then Add Contacts, then Address Book, filtered to the save the date mailing. Nobody is marked as attending because they opened the save the date.

On the invitation, match the guest settings to the policy on the save the date: add known family members as named household guests, and use a Plus 1 allowance for an unnamed companion, set to collect or require the companion's name. Add questions to the RSVP page for entrees or dietary needs, and set the reply date a few days before the earliest final-count deadline your caterer or venue gives you. Entering a reply date does not schedule reminders or close replies automatically.

For follow-up, you can send or schedule RSVP reminder emails to guests who have not replied. For phone-only employees, send a text through the Message Center on a paid account, or a personal text asking them to reply on the invitation. If an attending guest skipped the entree question, send that person a targeted message rather than a reminder. Our guide to collecting RSVPs for an office holiday party online covers the full reply workflow, and our office holiday party invitation wording guide has seven invitation examples.

A December Holiday Party Save the Date: An Illustrative Example

An operations manager uses Greenvelope to prepare a save the date for a 140-employee company's holiday party on Friday, December 18, 2026. On Friday, October 30, the venue confirms the date, with a caterer's final count due Friday, December 11. With seven weeks to go, she sends a save the date now and the invitation two weeks later. She picks Gold Circle Wreath by Stacey Meacham Design, llc, a gold-effect wire wreath with a cluster of lights, offered in red, blue, green, white, and black, and adds the company logo.

  • Friday, October 30: she writes the save the date ("Employees and one guest each. Invitation to follow."), imports 138 employees from a spreadsheet, sets the date and time so the Add to Calendar link appears, sends herself a test, and schedules the send for Monday at 9 a.m. After scheduling, she adds two new hires, bringing the list to 140.
  • Monday, November 2: the save the date goes out to all 140 employees, including the two new hires. Each employee receives it once, by email or by text message in supported countries, using their preferred channel and current contact details.
  • Monday, November 16: she sends the invitation, with the same contacts imported from the address book, a Plus 1 allowance of one with the companion's name required, an entree question, and an RSVP deadline of Monday, December 7. Delivery Optimizer is turned on under Details, Information, Advanced Options.
  • Thursday, November 19: Delivery Optimizer resends the invitation three days after the initial send, skipping employees who have opened it or responded.
  • Monday, November 30: she sends an RSVP reminder email to employees who have not replied, and a Message Center text to the few phone-only employees who have not, one message per person.
  • Monday, December 7: a brief final note goes to anyone still missing on the reply date, again one message per person.
  • Tuesday, December 8: she follows up once with each remaining non-responder, stating the cutoff, and records confirmed offline replies manually on Track.
  • Friday, December 11: she exports the guest list and RSVPs to Excel and sends the caterer the expected headcount based on RSVPs.

The dates and numbers are illustrative.

Common Mistakes With Company Holiday Party Save the Dates

On Greenvelope, confirm the date, guest policy, and calendar details before scheduling your save the date. These are the slips that cause the most follow-up.

  • Sending before the date is firm. Confirm the event date and any necessary venue arrangements first.
  • Leaving out the guest policy. "Employees and one guest each" on the save the date can reduce questions about who may attend.
  • Asking for RSVPs too early. A save the date holds the night; the invitation collects the replies once the details are final.
  • A calendar entry with a guessed time. If the start time is not final, write "Time to follow" instead.
  • Sending both cards in the same week. If you are already inside the invitation window, send the invitation alone.

What It Costs

Greenvelope prices each mailing by the size of the guest list, so the save the date and the invitation are two mailings. Single mailings start at $19 for a guest list of up to 20 people, with pricing based on list size and no subscription required, and companies that send throughout the year can choose an annual membership; our guide to what Greenvelope costs covers every plan. Paid accounts start with 500 text messages; additional text messages and optional custom design services cost extra. A trial send to up to 10 people needs no credit card.

Frequently Asked Questions

How do you send a save the date for a company holiday party?

On Greenvelope, create a save the date with the company, party name, date, city, and who is invited, include an Add to Calendar link once the date and start time are confirmed, import your employee list, and schedule the send by email or by text message in supported countries. Collect RSVPs later on the invitation, which follows a few weeks after.

When should you send a save the date for a company holiday party?

This guide recommends sending it once the date is firm and at least two weeks before the invitation, which belongs 4 to 6 weeks before the party. For a December party that usually means October or early November; if you are already inside the invitation window, send the invitation instead.

What should a company holiday party save the date say?

On a Greenvelope save the date or any other, include the company, the party name, the date, the city, who is invited, and a line such as "Invitation to follow." Leave the venue details, schedule, and reply date for the invitation.

Do you need a save the date for an office holiday party?

Not always. A save the date helps most when the party is more than about six weeks away, when guests come from other offices or cities, or when partners need notice. A small team party a few weeks out needs only the invitation.

Should a company holiday party save the date ask for an RSVP?

No. On Greenvelope, a save the date announces the date and can include an Add to Calendar link, and RSVPs are collected on the invitation that follows. Answers to an optional interest question are for early planning only, not an attendance count.

Can you reuse the employee list for the holiday party invitation?

On Greenvelope, yes. Create the invitation as a separate mailing and import contacts through Send, then Add Contacts, then Address Book, filtered to the save the date mailing. Opening the save the date does not mark anyone as attending.

Can you add a company logo to a holiday party save the date?

Yes. On Greenvelope, you can add a logo to a template as an image in the Edit Card section, or upload your company's finished artwork as a .jpg, .jpeg, .png, or PDF file.

Can you send a holiday party save the date by text message?

Yes. Greenvelope sends save the dates by email, or by text message in supported countries, and each person receives the card by the channel that suits their contact details. Paid accounts start with 500 text messages, with more available to purchase.

Can a calendar invite replace a holiday party save the date?

A calendar invitation can work for a simple internal party, and you can put the guest policy in its description; whether you can invite people outside your organization depends on your calendar settings. A Greenvelope save the date can include an Add to Calendar link once the date and start time are confirmed.
